Who we are

LINC / Fastrac Software Publishing Service ("we", "our", "us") is committed to protecting your privacy. This Privacy Notice explains how we collect, use, disclose and safeguard personal information when you use the LINC school communication platform (the "App"). Please read it carefully. If you do not agree with this notice, please do not use the App.

1. Information we collect

  • Account data: name, email address, mobile number, account role and profile photo.
  • School records: student name and ID, grade level and section, guardian details, staff designation and the school you belong to.
  • Announcement data: messages, attachments and delivery or read status for broadcasts sent to you or by you.
  • Technical data: sign-in timestamps and audit records of administrative actions, used for security and accountability.
  • We do not collect precise GPS location and we do not collect payment card or banking information.

2. How we process and use your information

  • To create and manage your user account and verify your role in a school.
  • To deliver school announcements, emergency alerts, event and examination notices to the right recipients.
  • To maintain accurate student and staff rosters for each school.
  • To protect against, identify and prevent fraud, abuse and cyber threats.

3. Legal basis and consent

We process personal information based on your consent, on our contract with your school, and on the legitimate interests of the school in communicating with its community, in accordance with the Data Privacy Act of 2012 and its Implementing Rules and Regulations.

4. Third-party disclosures

  • We do not sell your personal data.
  • Your school and its authorized administrators can see the records that belong to their own school only.
  • Cloud infrastructure: data is hosted and encrypted with our managed cloud database and storage provider.
  • We may disclose information when required by law, by a lawful order, or by the National Privacy Commission.

5. Your rights under the Data Privacy Act of 2012

  • Right to be informed about how your personal data is processed.
  • Right to access and rectify: view and update your personal information in Settings → Profile.
  • Right to object and to withdraw consent, subject to your school's records obligations.
  • Right to erasure or blocking: request deletion of your account and stored data by contacting our Data Protection Officer.
  • Right to data portability and the right to file a complaint with the National Privacy Commission.

6. Data retention

Account and school records are retained for as long as your account remains linked to a school, and thereafter only for the period required by the school's records-retention policy and applicable Philippine law. Audit records are retained for security and accountability purposes.

7. Data security protocols

We use industry-standard safeguards, including encryption in transit (SSL/TLS) and at rest, row-level access rules that isolate every school's records, and role-based access so information is visible only to the right school and the right family.

8. Children's data

Student information is provided and managed by the school. Where a student is a minor, the parent or legal guardian exercises the data-privacy rights described above on the student's behalf.

9. Changes to this notice

We may update this notice from time to time. When we do, you will be asked to review and accept the updated version the next time you sign in.
