Part 1: Privacy Notice (Data Privacy Act of 2012 — RA 10173)
Who we are
LINC is committed to protecting your privacy. This Privacy Notice explains how we collect, use, disclose, and safeguard personal information when you use the LINC school communication platform (the "App").
1. Information we collect
- Account data: name, email address (or unique username for Sub-Super-Admins), mobile number, account role, and profile photo.
- School records: student name and ID, grade level and section, guardian details, staff designation, and the school you belong to.
- Announcement data: messages, attachments, and delivery or read status for broadcasts.
- Technical data: sign-in timestamps and audit records of administrative and document access actions.
- We do not collect precise GPS location, and we do not collect payment card or banking information.
2. How we process and use your information
- To create and manage your user account, verify your role, and handle secure username-based logins for administrative tiers.
- To deliver school announcements, emergency alerts, and notices to the right recipients.
- To maintain accurate student and staff rosters for each school tenant.
- To protect against, identify, and prevent fraud, abuse, and security threats.
3. Legal basis and consent
We process personal information based on your consent, on our contract with your school, and on the legitimate interests of the school in communicating with its community, in accordance with the Data Privacy Act of 2012.
4. Third-party disclosures
- We do not sell your personal data.
- Your school and its authorized administrators can see records belonging strictly to their school tenant. Sub-Super-Admins have bounded read-only monitoring access to assigned school accounts.
- Cloud infrastructure: data is hosted and encrypted with our managed cloud database and storage provider.
- Disclosures may occur when required by law, lawful order, or the National Privacy Commission.
5. Your rights under the Data Privacy Act of 2012
- Right to be informed, access, and rectify your information via settings.
- Right to object, withdraw consent, request erasure/blocking, or file a complaint with the National Privacy Commission.
6. Data security protocols
We use industry-standard safeguards, including SSL/TLS encryption, row-level security (RLS) rules to isolate school tenants, and role-based access.

Part 2: Terms of Service
1. Platform access & roles
LINC is operated by the LINC platform team. Super Admins and Sub-Super-Admins may access school tenant configuration, subscriptions, and audit logs to operate and secure the service. Sub-Super-Admins operate under strict tenant boundaries and read-only access limitations on school admin portals. Platform administrators do not use learner personal data for any purpose other than support, security, and legal compliance.
2. School responsibilities
Each school is the data controller for its learners, guardians, and staff. Schools are responsible for record accuracy, obtaining consent, and managing active users.
3. Data retention & archiving policy
- Active academic archives: to support school compliance with Department of Education (DepEd) audit and historical recordkeeping standards, active school accounts retain student academic records, rosters, and historical data in secure soft-deleted/archived states for a minimum of 3 to 5 years.
- Subscription expiration & export: upon subscription termination or non-renewal, schools are provided a 90-day grace and recovery period to export or retrieve their historical archives in read-only form.
- Permanent disposal: following the 90-day post-termination window, learner and guardian personal data is permanently deleted from primary storage, and backup purges complete within 35 days. Audit logs and platform billing records are retained for 24 months.
4. Rollovers and rollback
Academic year rollovers change learner grades, sections, and statuses. Changes may be rolled back within 48 hours of execution before becoming permanent.
5. Acceptable use
Broadcasts must not be used for unlawful, harassing, or commercial content unrelated to the school. LINC reserves the right to suspend breaching accounts.
6. Changes to terms and notices
We may update these terms and notice from time to time. Material updates are announced in-app, and continued use constitutes your acceptance.
